Recording Land Records

Requirements & Standards

  • Original, signed and properly acknowledged document; notary seal/stamp must be legible and photographically reproducible
  • Names are clearly legible
  • Pages are numbered
  • Documents shall be black and white; inscriptions/text is solid, uniform, sharp, dense, and unglazed (17VAC15-61-20); documents containing color, including signatures and notary seals that are not black or blue, are not accepted
  • Exemptions, if claimed, must be listed on the first page, otherwise, document is subject to fees and taxes as established by Virginia Code (Chapter 8. State Recordation Tax)
  • Deeds must list consideration and assessed value, grantee's address and GPIN (county parcel ID)
  • Deed of Trusts must name a Virginia trustee (Virginia Code § 55-58.1)
  • Recording submissions should include self-addressed prepaid return envelope
  • Documents can't contain any part of SSN (Virginia Code § 17.1-227)
  • Loudoun County does not require cover sheets

Fees & Taxes

All land records documents are subject to fees and taxes as established by Virginia Code (Chapter 8 State Recordation Tax) unless applicable exemption is noted.
